APAN Fukuoka PC members, I joined APAN/PRAGMA Fukuoka LA Meeting held in Hiroshima two days ago. The meeting was in Japanese, so I'm writing you this message only on PC related matters referring that memo in Japanese. 1) The date of Reception will be changed from 21st to 22nd. Because PRAGMA will have a reception on 22nd, so the change will reduce the time to hold receptions arranged by APAN/PRAGMA LA. (LA is shared by the both conferences.) 2) Registration fee will be 12,000 JPY for regular and 6,000 JPY for fellow and students. Only Japanese YEN will be accepted at the registration. Deadline will be January 14, 2003. After the deadline, the registration fee will raise to 18,000 JPY. This is to encourage people to make their registration earlier. 3) Papers and presentation materials for on-line proceedings that will be ready at the conference must be submitted by January 10, 2003. After that, those papers and presentation materials will be collected at the time of presentation by the session chair and will be available on-line after the conference. Invited speakers whose expenses are covered by us must submit their paper or material to justify our supports. Powerpoint and PDF will be accepted. 4) PC will recommend invited speakers. The total budget for this will be 1,500,000 JPY (about 12,000 USD). Discount economy ticket, moderate hotel accommodation, registration fee will be included in the support. About 10 people can be invited in a rough calculation. 5) Deadline for visa processing will be December 20, 2002. The details procedure will be provided by LA. PC is responsible for deciding invited speakers who need a visa in time. Also, deadline for an invitation letter is the same. 6) LA will assign a student staff for each session room to assist the session chair to run the session and collect materials. 7) It is requested by LA that PC need to ask each speakers about equipment needed in addition to VGA projectors, Polycom, a laser pointer. 8) Internet access will be at least 10M bps to APAN as well as 10M bps to a commercial ISP. A small terminal room with wire connection will be provided. 802.11b is available throughout the venue. Each session room has an wire connection with a global IP address. We need to ask speakers if they need some advanced option like IPv6 and multicasting. The deadline for such a request will be December 3, 2002. Please send your comment on those points. I heard LA needs to cut some cost to meet their total budgets. So, the plan is still subject to change. Masaki
